XLSX Export generates a large-scale Excel spreadsheet from your active search criteria or selected posts. Because file generation runs asynchronously in the background, check the task status before downloading your prepared file.

Before you start

  • Permissions:
    • Viewing the export history list and progress status requires Viewer or above (Viewer, Writer, Admin).
    • Requesting new XLSX exports, retrying failed tasks, and downloading generated files require Writer or above (Writer, Admin).
  • Each export request can process between 1 and 30,000 posts.

Request a file

  1. In Posts, verify your date range, filters, sorting criteria, or chart target scope.
  2. If you only want specific items, select the target posts in the list.
  3. In the download menu, choose XLSX export.
  4. Select your desired optional columns and submit the export request.
  5. Navigate to the export status view and wait for processing to finish.
  6. When the status changes to ‘Ready’, click download to save your file.
Essential core columns are always included, while optional metadata columns can be selected as needed. Clearing all optional columns produces a streamlined file containing only essential fields. If you selected a Day metric in Competitive Research, the same Day observation criteria are applied to the export request.

Task status and file lifecycle

  • Preparing: The system is querying target data and building the Excel file.
  • Ready: The spreadsheet is generated and ready for download.
  • Failed: An issue occurred during data retrieval; review the error and retry.
  • Expired: 30 days have elapsed since the creation request. For data security, files older than 30 days cannot be downloaded or retried; please submit a new export request for the latest data.
For enhanced security, temporary file download URLs are short-lived. If a download link expires, return to the export management screen and click download again to retrieve a fresh, active link.

Real-time data reflection at export time

XLSX Export executes a live query against your workspace data at the exact moment the file is built. Because XLSX exports reflect real-time post additions, edits, exclusions, or metric updates that occur after request submission, exported rows and metric values may differ slightly from the figures displayed on screen when you initially submitted the request.
If no posts match your criteria when file generation runs, the system produces a file containing only table headers. If any individually selected post is subsequently deleted or restricted before generation finishes, the task safely terminates with a failure rather than delivering an incomplete, partial file.

Troubleshoot

  • If your export exceeds the 30,000-post limit, narrow your date ranges or filter conditions to split the export into smaller batches.
  • If you reach the concurrent task limit for your workspace, wait for pending exports to finish before submitting new ones.
  • If file download fails, confirm your Writer or above permissions, check that the status is ‘Ready’, and ensure the 30-day retention period has not expired.
  • Retrying a failed export retains your original column choices and query conditions while querying the latest workspace records.
